Overview
Collections are used to organise your Documents into coherent groups such as a project, a grouping of permits that fall under the same activity or even a group of permits that are managed by the same person. Almost anything in CS-VUE can be grouped into a Collection to view, manage or follow activity.
If you are an Administrator you can see all collections in the system.
If you are a normal user, you will only be able to see your own searches and those given to you via an Access Profile.
Collections and Saved Searches
Collections fall into 2 types, Collections and Saved Searches.
Collections are a static list of documents and clauses. Unless explicitly changed they will continue to stay the same. These collections can have items added or removed from the document panel.
They can also initially be populated from a search result by using the SAVE AS COLLECTION button.
Saved Searches are a dynamic list of documents and clauses. They are a set of search parameters that cause the list of documents and clauses to change as the items that meet the saved search parameters change. For example, you could have a Saved Search called "Davids Documents" that has the search parameters "Owned by David Smith" this would always show the items owned by David Smith and change as new documents are assigned to David or transferred to someone else.
Administrators may see more results from a saved search than the owner of the saved search, because they can view all documents in the system.
Collection Compliance
At any time, whether you are in a single Permit or a Collection or search, you will have the option to view the compliance status by simply clicking on the COMPLIANCE button.
Collection Reporting
At any time, whether you are in a Documents or a Collection or search. Reporting is integrated in. You can click the REPORTS button.
Collection Access Profiles
Administrators can share collections using Access Profiles.
If you give access to a Collection to a normal user via an access profile they will be able to see all the items in the shared collection. Their rights will be set up in the access profile. ??
